EasyBids is built for public-sector construction bids — city and county projects, school districts, airports, ports, and other government-issued ITBs, RFPs, and RPQs. If the owner issued a formal bid package, EasyBids can read it. Private commercial projects are not the focus right now, though many of the tools still apply.

Upload any PDFs that make up the bid package: the ITB or RFP, technical specifications, drawings, addenda, pre-bid meeting minutes, and owner-issued Q&A responses. EasyBids reads them all together as one project so it can catch contradictions between documents. Most bid packages come directly from DemandStar, BidSync, PlanetBids, or a public agency portal — just download and upload as-is.

No. EasyBids runs entirely in your browser. Upload your documents, wait for the analysis to finish, and review the results — no software to install, no IT department needed.

Yes. Every account includes one free Bid Preview per month. The preview gives you the Executive Summary, the Scope by CSI Division, and the Inconsistencies list — enough to make a solid bid/no-bid decision. Exports (Word, Excel, ZIP) require a paid plan.

Every page. EasyBids runs a page-by-page pass across your entire uploaded document set before any analysis begins. That's not a marketing claim — it's the architecture. Most estimators miss the liquidated damages clause on page 347 or the insurance requirement buried in Addendum 3. EasyBids is specifically designed so that doesn't happen.

Typically 10–20 minutes for a standard bid package. Larger document sets (600+ pages, multiple addenda) may take up to 30 minutes. You can close the tab and come back — you'll receive an email when the analysis is ready.

The engine runs MAP and REDUCE passes across your documents and outputs eight deliverables: an Executive Summary, Scope by CSI Division, Inconsistencies & Gaps report, RFI List, Outside-the-Box Risks, Quantity Takeoffs, a Budget vs. Market SOV comparison, and a Comparison Analysis summary. Yes — that's one of the most valuable things it does. If Addendum 2 changes the insurance minimum from $1M to $2M but the base ITB still says $1M, EasyBids flags it as an inconsistency and includes it in the RFI list. Missing addendum conflicts is one of the most common ways a GC gets burned post-award.

You can upload drawings. EasyBids reads PDF drawings for scope cues, general notes, specification callouts, and detail references. It does not replace a dedicated takeoff tool for precise quantity measurements from drawings, but it does produce preliminary quantity estimates and flags scope items visible in the plans that the spec may not fully describe.

EasyBids produces AI-generated draft analysis — every line item, quantity, and risk flag should be reviewed by your estimator before you commit to a number. The tool is built to make that review faster and more complete, not to replace it. Think of it as a very thorough first pass by a senior estimator who read every page overnight.

It can happen. AI analysis on construction documents is not perfect, and we say so prominently throughout the app. The value is catching things a time-pressured estimator would miss — not replacing the estimator's judgment. Your team is still responsible for final pricing. We recommend using the output as a structured checklist, not a final bid.

EasyBids applies OCR processing to scanned documents. Heavily degraded scans, handwritten notes, or low-resolution drawings will reduce accuracy. When document quality is a known issue, we flag it in the output. If a page cannot be processed reliably, we note it rather than silently skipping it.

Yes. The analysis is jurisdiction-aware for Florida public sector work, including High-Velocity Hurricane Zone requirements, Miami-Dade County permit fees, prevailing wage rules, and Unified Area Permit requirements. We are expanding coverage to all US states, and the engine flags jurisdiction-specific compliance items as it identifies them.

ChatGPT and general AI tools are not designed for construction documents. They have no page-coverage guarantee, no construction-specific knowledge base, no document cross-referencing, and no structured output tied to CSI divisions or SOV line items. EasyBids is a purpose-built workflow — 12 specific analysis steps, construction-specific terminology, market-rate cost data, and deliverables formatted for how GCs actually bid work.

Only you. Your documents are encrypted in transit and at rest. They are never shared with other users, never visible to competing contractors, and never used to train AI models. EasyBids is a tool for your analysis — your bid strategy stays yours.

No. Your uploaded documents and project data are never used for AI training, by EasyBids or any underlying AI provider. This is a firm policy, not a default setting you have to opt out of.

Yes, at any time. Go to your project, select Delete Project, and all uploaded documents, analysis outputs, and associated data are permanently removed. You do not need to contact support.

EasyBids does not store, transmit, or process any agency-confidential data beyond the bid documents the agency itself made publicly available as part of the procurement. We do not access agency systems. If your agency requires a data processing agreement or vendor security questionnaire, contact us at support@easybids.us.

We give 14 days' written notice before any price change takes effect. Credits and packs you've already purchased are always honored at the price you paid. We don't bait-and-switch you with an intro price that quietly doubles at renewal. Full commitment in Terms §3.

No. Single bids and packs do not expire. Run them when you need them.

If EasyBids cannot process your documents due to a technical failure on our end, we will refund the credit. If you have a specific issue with a document set, contact support before submitting — we can often advise on formatting that improves results.

The full export is a ZIP bundle containing: a Word document (narrative analysis, scope, RFIs, risks) and an Excel workbook with eight tabs — Project Summary, SOV Budget, SOV Market 2026, Comparison, Takeoffs, QTO Verification, RFIs, and Notes. Both files are formatted to share with your team or owner directly.

Yes. Both files are fully editable standard Microsoft Office formats. Use the Excel SOV as a starting point for your internal estimate, add your subs' numbers, and strip out anything not applicable. The Word doc can go straight to your PM or owner with your firm's header added.

The RFIs are formatted as email-ready questions with source citations (document name and page number). Most of the time you can copy them directly into an RFI submission. Review each one before sending — your estimator may have already resolved some questions, or the RFI deadline may have passed for certain items.

Yes. Download the export and share the relevant sections — there's no restriction on distribution within your team or to your subs. Many GCs use the Scope by Division section to scope sub invitations and the Inconsistencies report to draft pre-bid questions.

Yes. When the analysis detects prevailing wage language, Davis-Bacon Act applicability, or state-level wage determination requirements, it calls them out in the compliance section of the Executive Summary and includes them in the RFI list if rates or wage determinations are missing from the bid package. Note: EasyBids identifies the requirements — you are responsible for pulling the current wage tables from the appropriate source and applying them to your labor pricing.

Yes — that's exactly what the free Bid Preview is for. The Executive Summary includes a scope complexity assessment and highlights major risk flags (liquidated damages amounts, bonding requirements, short mobilization timelines, unusual insurance requirements) that should factor into your bid/no-bid decision. Most estimators make that call in under 10 minutes after reviewing the Preview.

EasyBids reads any PDF bid package, including Design-Build RFPs and CM-at-Risk RFQs. The analysis is most complete on traditional Design-Bid-Build ITBs where full drawings and specs are provided. On DB or CMAR packages with performance specs and limited drawings, the quantity takeoff section will be more limited, but the scope identification, risk flags, RFI generation, and inconsistency detection all still apply.
