These Terms of Service (“Terms”) are a binding agreement between you and the operator of Easy Bids (“we”, “us”, “Easy Bids”, the “Service”). By creating an account or using the Service you accept these Terms in full. If you do not accept them, do not use the Service.
§1The Service
Easy Bids lets contractors upload bid documents, plans, and addenda, then generates an AI-assisted analysis (summary, scope by CSI division, RFIs, takeoffs, Schedule of Values) and exports it as Word / Excel / ZIP. Analyses are generated by third-party large language models (currently Anthropic Claude Sonnet 4.5).
§2Account & Eligibility
- You must be at least 18 years old and authorized to bind any company you represent.
- You are responsible for keeping your password confidential and for all activity under your account.
- You agree to provide accurate registration information and keep it up to date.
- One account per natural person. Sharing credentials with another person — including coworkers, contractors, or subcontractors — is prohibited and is grounds for immediate account suspension without refund.
- We monitor concurrent sign-ins via device fingerprinting and email the account owner the moment a new device signs in. If you don't recognize a device on your Recent Devices list, immediately use "Sign out of all devices" and change your password.

§3Free Tier & Paid Plans
Free tier
- Every account receives 2 free analyses per calendar month. Quota resets at 00:00 UTC on the 1st of each month.
- Re-running an existing project after uploading new addenda does not consume new quota.
Paid options
- Single Analysis credit — $99: one additional analysis. Never expires.
- Pro — 30 days unlimited — $299: one-time payment that grants unlimited analyses for 30 days. Not auto-renewing.
Beta access (closed)
From time to time we issue single-use invite codes that unlock Pro-equivalent features (full exports, additional analyses) for a fixed window — currently 30 days from redemption. Beta access is provided free of charge in exchange for your feedback and is subject to these additional conditions:
- Each code is bound to the email address it was sent to and may only be redeemed by an account that uses that same email address.
- Beta codes are non-transferable and have no cash value.
- We may revoke a code or shorten its window if it was sent or redeemed in error. When we do, we’ll email you and, where possible, issue a replacement.
- When the 30-day window expires, your account returns to the free tier; existing projects and exports you’ve already downloaded are unaffected.
- By using beta access you agree we may contact you for product feedback. You can opt out of feedback requests at any time without losing your remaining window.
Price-change commitment
We may change pricing on prospective purchases at any time, subject to the following commitments which apply to all paid SKUs (Single, Bid Pack Monthly/Annual, Pro Monthly/Annual):
- At least 14 days' (two weeks') advance notice in the form of an in-app banner on /billing/pricing and an email to the address on file, before any price increase takes effect.
- Credits already in your account are honoured at the price you paid — they do not retroactively reprice when the catalog changes.
- Active 30-day or 365-day windows are not shortened by a price change. If your Pro Bid Room window runs through Day 17 of next month, it runs through Day 17 of next month regardless of any catalog change.
- Last catalog price change: 2026-06-25. The history of price changes is visible on the public pricing page footer.
Payments
All payments are processed by Stripe, Inc. By purchasing you also agree to Stripe’s terms. We do not see or store your card information. Failed payments do not grant access.

§5Your Content & Files
- You retain all rights in the documents you upload.
- You grant us a limited license to read, store, and transmit your uploaded content solely to provide the Service (including sending the extracted text to our LLM subprocessor to generate your analysis).
- You represent that you have the legal right to upload every document you upload. You will not upload sealed bids, classified records, attorney-privileged material, NDA-restricted content you cannot share, or third-party documents you are not authorized to use.
- You can delete any project at any time, which removes the uploads and the analysis record.
§6AI Output — Critical Disclaimers
- Output is AI-generated. It may contain hallucinations, math errors, misread drawings, outdated unit prices, or missed clauses.
- Output is a preliminary draft only. You must independently verify every quantity, dollar figure, citation, deadline, code reference, and compliance flag against the source documents before submitting any bid.
- Two Schedules of Values, two different methods. Each analysis ships two SOVs: a Budget-Constrained SOV anchored to the published budget, and an independent 2026 Market SOV priced at then-current prevailing-wage market. The two will frequently differ by 10–50% and that is by design — neither is “the right number” without your professional judgment. Premiums (night shift, occupied-facility ICRA, HVHZ, Davis-Bacon, etc.) apply only when triggered by the documents or by you in the Premium Picker, and every line includes a
basiscitation you should audit before bidding. - Output is not professional advice. Easy Bids is not a licensed contractor, architect, engineer, attorney, or financial advisor. Using the Service does not create a professional-client relationship.
- You bid at your own risk. You — not Easy Bids — are responsible for every bid, contract, and decision you make using output from the Service.
§7Acceptable Use
See the separate Acceptable Use Policy. In short: don’t try to break it, don’t use it to bid for sealed/classified work, don’t reverse-engineer it, don’t share accounts, don’t use it for anything illegal.
§8Intellectual Property
- Easy Bids, including the application, brand, code, prompts, templates, and CSI 2024 methodology, is owned by us. These Terms do not transfer any of our IP to you.
- You may use the generated analyses (Word / Excel / ZIP exports) freely for your own bidding work and share them within your bidding team. You may not resell or relicense the Service or the underlying methodology to third parties.
§9No Affiliation With Government Agencies
Easy Bids is an independent third-party tool. It is not affiliated with, endorsed by, or sponsored by any government agency, procurement office, school district, public authority, or other public body. References to public procurement processes, RFPs, ITBs, RPQs, HVHZ rules, NOA requirements, prevailing wage rules, CSI MasterFormat, FBC, and similar are provided as context only.
§10Service Availability
The Service is provided “as is” and “as available”. We make no uptime guarantee. We may modify, suspend, or discontinue the Service (or any feature) at any time with reasonable notice. Scheduled maintenance may cause brief outages.
During scheduled maintenance windows we may display a branded “Scheduled maintenance” page in place of the normal application. While that page is shown, account creation, sign-in (for non-administrators), uploads, analyses, and exports are temporarily disabled. Your account, projects, uploaded files, and any active beta windows are preserved across maintenance windows and resume automatically once we bring the Service back online.
§11Limitation of Liability
To the maximum extent permitted by law, in no event will Easy Bids, its operators, employees, contractors, or affiliates be liable for any indirect, incidental, special, consequential, exemplary, or punitive damages — including, without limitation, financial loss, lost profits, project delays, labor overages, missed bid deadlines, bond forfeiture, or contractual penalties — arising out of or related to your use of the Service.
Our total cumulative liability for direct damages will not exceed the greater of (a) the amount you paid us in the 12 months preceding the claim, or (b) USD $100.
§12Indemnification
You agree to defend, indemnify, and hold harmless Easy Bids from any claim arising out of (i) your use or misuse of the Service, (ii) your violation of these Terms, (iii) your violation of any third-party right (including IP, confidentiality, or privacy rights), or (iv) any bid, contract, or representation you make using Service output.
§13Termination
- You may stop using the Service at any time and request account deletion (see Privacy Policy §5).
- We may suspend or terminate your account for breach of these Terms, abusive behavior, fraud, payment chargebacks, or violation of the Acceptable Use Policy. We will normally give notice first.
- On termination, your right to use the Service ends immediately. Sections 5 (your content disclaimers), 6 (AI disclaimers), 8 (IP), 11 (liability), 12 (indemnity), and 14 (law) survive.
§14Governing Law & Disputes
These Terms are governed by the laws of the State of Florida, USA, excluding its conflict-of-laws rules. Any dispute will be resolved in the state or federal courts located in the State of Florida, and you consent to that jurisdiction. We each waive any right to a jury trial. You agree to bring claims only on an individual basis and not as a class action.
§15Changes to These Terms
We may update these Terms. Material changes will be posted on this page with a new “Last updated” date and, where the changes materially affect your rights, communicated to you by email. Continued use after the effective date constitutes acceptance.
